Spring is traditionally the time for deep cleaning our physical environments. Why don’t we do the same for digital spaces?

If your Notion workspace feels cluttered and overwhelming, you might be making these common mistakes:

• Letting incomplete tasks pile up
• Creating a new database for every new thing
• Adding a new property for anything
• Trying to fit too much on a single page
• Displaying more information than you can digest

Here are 6 practical tips for keeping your Notion workspace tidy forever:

Don't let your tasks pile up. If you don’t already have one, create a view for today’s tasks. Update the status of your tasks as you progress and, at the end of each day, reschedule incomplete tasks for another day.

Resist the temptation of creating databases for every new thing. You don’t need an individual database for different types of notes. Instead, you can use tags to categorise them. Next time you feel the urge to create a new database, ask yourself:

• Is there a similar database in my workspace?
• Can I expand the purpose of that database to cover this new need?

Use the content area instead of properties. Each item in your database is a page. You can add as much content as you need in the page's content area. So, consider adding information to the page instead of creating a new property for it. Only add properties to filter, sort, group database pages, make calculations, trigger database automations, or display essential information on database views.

When you feel the urge to create a new property, ask yourself:

• Does it apply to all items in the database?
• Do I need this information to be displayed on a database view?
• Do I need this property to filter, sort, or group database items?

Show only essential information on database views. There’s only so much information that we can digest at a glance. When creating database views, be picky about the data you display and show only the data you need to identify or compare pages.

Limit the number of displayed pages. You can control how many database items (rows, lines, or cards) are displayed when loading a page. Besides keeping your pages tidy, the load limit will also help with page loading speed. You can always click "Load more" at the bottom of your database to see more items.

Keep your pages simple and free from distraction. We all know that multitasking is actually task-switching and negatively impacts efficiency and productivity. So… when creating a new page in Notion, approach it like designing a room for a specific purpose. You can have a lobby that acts as a hub, including links to different databases, pages, or notes you use regularly. However, each link should ideally open to a room dedicated to a particular type of task without any distractions.
